01. Introduction

Every organisation needs to maintain good air quality to improve the working capabilities of employees.

Pollution-free air is an essential requirement for an organisation.

Many IT companies use a centralised air conditioning system to keep the workplace temperature at a pleasant level.

Water pollution is another problem faced by organisations. Polluted water may cause diseases, so organisations must take measures to prevent both air pollution and water pollution.

02. Air and Water Quality Monitoring Process

Air and water pollution can be analysed using several methods. The textbook identifies three common forms of analysis.

  1. Physical analysis
  2. Chemical analysis
  3. Biological analysis

Physical Analysis

The temperature and content of a sample can be measured. For example, different gases or their percentages, such as oxygen, nitrogen and carbon dioxide in air, can be measured.

Chemical Analysis

The pH value of water can be measured through chemical analysis.

Biological Analysis

The effect of air and water on plants and animals is studied. Microbial indicators are used to monitor the health of the ecosystem.

03. Guidelines for Clean Air and Clean Water

Organisations should follow proper guidelines to keep the surrounding air and water clean.

🌱 Important Guidelines

  1. Air pollution is mostly caused by production of dust, solid particles and gases in surrounding air.
  2. Avoid unnecessary production of dust, solid particles and gases.
  3. Extensive use of automobile vehicles in the campus can lead to air pollution.
  4. Organisations should use a limited number of vehicles and practise a no-vehicle day every week.
  5. Ozone produced in air can pollute the air. It is often referred to as smog in the textbook context.
  6. The generation of ozone gas should be kept at a low level.
  7. Sewage or waste water can cause water pollution.
  8. Waste should not be allowed to mix with surrounding water.
  9. Extensive use of fertilizers and pesticides should be avoided because they can pollute ground water.

04. Importance of Cleanliness at Workplace

It is always safe to keep the workplace clean to avoid hazardous situations.

Poor handling and storage practices can result in damages. A clean workstation makes the job easier and more pleasant.

  • All areas must be kept neat and clean.
  • Each employee is responsible for the cleanliness of their work area and all tools and equipment used.
  • Spills and breakage must be cleaned immediately.
  • Spaces around machines and equipment should be kept clear and clean to permit free movement.
  • Floors should be kept clean and clear to prevent slipping and collision.
  • Lighting fixtures should be checked regularly to permit clear vision.
  • Faulty lights should be reported to administration so that building maintenance/facilities can rectify them.

05. Office Ergonomics

What is Ergonomics?

Ergonomics is the science concerned with designing and arranging things so that people can use them easily and safely.

Applying ergonomics can reduce the potential for accidents and injury and improve performance and productivity.

Repetition of a seemingly innocuous task over a period of time can cause injury.

Early Warning Signs and Corrective Actions

06. Computer Health and Safety Tips

Increased use of computers can lead to health and safety issues related to vision, musculoskeletal problems, body aches and pains .

Many of these problems are preventable and, if incurred, may be temporary. They can be addressed by adopting simple corrective actions.

Musculoskeletal Problems

These problems can affect areas such as the neck, back, chest, arms, shoulders and feet .

They can occur because of wrong posture or an uncomfortable chair that is not ergonomically correct.

🪑 Correct Computer Position

  • Keep the end of the monitor at eye level.
  • Keep the neck neutral with the monitor directly ahead.
  • Keep the monitor at least an arm's-length distance, or about 20–30 inches away.
  • Maximise contact of the back against the chair backrest.
  • Adjust armrests so elbows are at a 100–110° open angle.
  • Place the keyboard at a slight negative tilt when sitting upright.
  • While typing, keep hands slightly lower than elbows.
  • Minimise twisting of wrists from side to side or up and down.
  • Use a keyboard palm rest only when not typing.
  • Do not rest wrists on the palm rest while typing, as this can lead to wrist strain.
  • Take small breaks to stretch muscles, keep blood flowing and rest the eyes.

07. Occupational Overuse Syndrome

Occupational Overuse Syndrome is also known as Repetition Strain Injury (RSI) .

It is a collective term for conditions characterised by discomfort or persistent pain in muscles, tendons and other soft tissues, with or without physical manifestations.

It is usually caused or aggravated by work and is associated with:

  • Repetitive movement
  • Sustained or constrained postures
  • Forceful movements
  • Psycho-social factors, including stress in the working environment

Carpal Tunnel Syndrome

Repetitive use of muscles may cause pain in the neck, shoulder, wrist or fingers .

One common condition related to repetitive computer use is Carpal Tunnel Syndrome.

It causes pain, numbness and tingling in the hand and arm .

Keyboard and Mouse Position

  • Fingers should be above the home position: ASDF and JKL;.
  • Elbows should be by the sides.
  • Avoid gripping the mouse too tightly.
  • Keyboard and mouse should be kept at the same level.
  • Ergonomic keyboard and mouse can help reduce the risk of wrist-related conditions.

08. Strain in Legs and Feet

Sitting to work for a long time may cause strain in the legs.

  • Sit comfortably in the desk chair.
  • Keep feet flat on the floor.
  • Keep lower legs vertical.
  • Use a footrest for additional support.
  • Keep enough space to change position.
  • Stretch the legs from time to time.

09. Eye Strain and Visual Problems

Computer bright light, glare and flickering images can cause eye strain and visual fatigue.

When a person constantly focuses on the screen, they may forget to blink, which can cause drying of the eyes.

Computer Vision Syndrome

Computer Vision Syndrome is caused by poor lighting and glare on the computer screen.

These factors can cause:

  • Blurry vision
  • Burning and/or watering eyes
  • Headaches
  • Shoulder and neck pain in some instances

To Reduce the Risks of Visual Problems

  • Adjust the brightness of the computer screen.
  • Reposition the screen to avoid glare from lights or windows.
  • Maintain proper viewing distance and blink at intervals.
  • Wear anti-glare glasses while working on a computer.
  • Keep the screen clean and use a desk lamp to make it easier to see.
  • Ensure screen colours are easy to look at and characters are sharp and legible.
  • Give your eyes periodic breaks from the screen.
  • Blink frequently.
  • Look away from the screen into the distance for a few moments.
  • Focus on something about 30 metres away for 30 seconds every 30 minutes.
  • Keep the monitor between 18 and 24 inches away from your face.
  • Position monitors to avoid glare from sunlight and keep them clean.

10. Headaches

Spending long hours on computers may lead to a lack of physical activity and exercise .

12. Stress Disorders

Technology can impact behaviour and emotions. Prolonged computer use may be accompanied by poor health and increased workplace pressure, which may lead to stress.

The longer stress remains untreated, the greater the chance of more serious health problems.

13. Injuries from Laptop Use

The growing use of laptops can cause more pain and strain.

Laptops are designed for short periods of use.

The screen and keyboard of a laptop are very close together. There is no single right way to use a laptop for long periods: positioning the screen correctly for the back and neck may make the arms and shoulders uncomfortable, and vice versa.

15. Health and Safety Requirements for Computer Workplace

The textbook gives minimum health and safety requirements for computers including desktop computers, laptops, tablets, smartphones, television screens and video monitors .

Display Screen (Monitor)

  • Use modern LED monitors.
  • Monitor should be of legible size.
  • There should be adequate spacing between characters and lines.
  • Image should be stable without flickering or instability.
  • Screen should be free of reflective glare and reflections liable to cause discomfort.

Keyboard

  • Keyboard should tilt and separate from the screen to allow a comfortable working position.
  • There should be sufficient space in front of the keyboard to support hands and arms.
  • Keyboard should have a matt surface to avoid reflective glare.
  • Symbols on keys should have adequate contrast and be legible.

Work Surface

  • Desk should be sufficiently large.
  • Surface should have low reflectance.
  • It should allow flexible arrangement of screen, keyboard, documents and related equipment.
  • Document holder should be stable and adjustable.
  • Document holder should minimise uncomfortable head and eye movements.

Work Chair

  • Chair must be stable.
  • User should be able to move easily and find a comfortable position.
  • Chair should be adjustable in height.
  • Feet should be placed flat on the floor.
  • A footrest should be used when needed.

Space Requirements

The workstation should provide sufficient space to change position and vary movements. There should also be enough desk space for the equipment being used.

Lighting

There must be satisfactory lighting with appropriate contrast between the screen and background environment. Disturbing glare and reflections should be prevented.

Noise and Heat

  • Equipment noise should not distract attention.
  • Noise-cancelling earphones may provide a solution if some noise is unavoidable.
  • Equipment must not produce excess heat that causes discomfort to users.

16. Reflections and Glare

Workstations should be designed so that sources of light, such as windows and other openings, transparent or translucent walls, and brightly coloured fixtures or walls do not cause direct glare or distracting reflections on the screen.

Windows should have a suitable system of adjustable covering to reduce the daylight falling on the workstation.

  1. Static electricity generated by walking on a carpet can damage computer components.
  2. Use a surge protector when plugging the computer system into power.
  3. A battery backup system helps protect against a power outage by providing constant voltage.
  4. Remove rings, watches and necklaces while working on the computer because conductive metals can damage computer components through static electricity.
  5. Unplug all power sources and cables from the computer before working on it.
  6. The textbook notes that modern processors can overheat within 7 seconds if the heat sink is not attached.
